Social media tools: a practical toolkit for a small team

Choose the task before the tool

A small team may need only one design tool, one calendar and the platform’s own reporting. A free plan does not imply unlimited use or access to every network, font and music file. Check terms, rights and data export options.

1. Canva for consistent visuals

Prepare a few templates for a product, customer question and update. Use your logo, colours and actual photographs. Check which elements and features your plan includes and whether the licence permits the intended commercial use. A template saves time but does not decide the message.

2. Meta Business Suite and Buffer for organisation

Meta Business Suite brings Facebook and Instagram work together. Check scheduling, messaging and analysis options for your account. Buffer supports multiple channels. At this revision, its free plan lists up to three channels and a refillable queue of ten scheduled posts per channel—not a total allowance of thirty posts per month.

3. CapCut and InShot for short videos

Use a short script with one idea, clear footage and readable captions. Review automatically recognised text, especially names and technical terms. Free editing does not mean every music track is licensed for advertising; check rights for the platform and intended use.

4. Google Trends and question research

Google Trends shows normalised relative interest, not absolute search counts or a survey of all customers. Compare the same region and period. AnswerThePublic can suggest question phrasing; check current access limits and validate ideas against real enquiries.

5. Meta reporting for your own posts

Compare reach, impressions, interactions and clicks according to the goal. State the denominator for an engagement rate because reports can use different definitions. Many reactions do not necessarily mean relevant enquiries.

6. Trello or Notion for an editorial calendar

Create stages for idea, materials, editing, approval and publication. Record the goal, audience, format, owner and date for each item. A spreadsheet may be enough: the tool should simplify maintenance rather than create more work.

7. Metricool for an overview

A system such as Metricool may help with multiple profiles if its available integrations and plan fit your needs. Compare its figures with the platforms’ own reports. A suggested posting time is not a universal rule.

A minimal workflow

Collect customer questions, prepare materials you may use, edit the copy and approve the posts. After publishing, check links and respond to messages. Review which content leads to useful conversations with relevant people before adding another subscription.
